ENROLLMENT LEVEL

All initial financial aid offers are based on full-time enrollment unless you informed our office otherwise.

  • If you change your enrollment level during the semester, it is highly recommended that you contact the Financial Aid Office before taking such action because your financial aid eligibility will or may change with a corresponding change in your credit enrollment level.
  • If you decide to withdraw from a course, please check the academic calendar first to see whether you are dropping/withdrawing from the course within the 100% refund time frame or the 50% refund time frame or no refund time frame.
  • If you stop attending your classes, please be aware that you may be required to repay all or part of your financial aid back to Windward Community College. To learn more, please see Return of Title IV Funds.

Listed below is the number of credits that correspond to each enrollment level:

Refunds

Your financial aid will be electronically applied to any unpaid Windward Community College (WCC) registration charges approximately ten days prior to the start of instruction, unless your aid was finalized after the start of school or if you have any outstanding eligibility requirements.

Refunds are processed by the Cashier’s Office. There are two ways to receive an overpayment refund:

  • Direct Deposit (Electronic/eRefund)
    Your refund will be processed within three to five business days from the date of your disbursement. To have refunds processed to you electronically, you must sign up for eRefund. Please note it can take up to two weeks for the University of Hawai‘i to verify your bank account information (from the time you set up eRefund) for your eRefund to be active and ready.   • Paper checks
    Your refund will be processed within seven to ten business days from the date of disbursement. The paper check will be mailed to the mailing address on your Student Account. You are responsible for maintaining a current mailing address on your Student Account.
  • Credit applied back to your credit card, if applicable.

PAYMENTS AND PAYMENT PLAN

Payments are processed by the Cashier’s Office, 808-235-7411, located in Hale Alaka‘i 114, Monday – Friday from 9:00am to 2:00pm. Payment options include debit card, cash, check or money order payable to the University of Hawai‘i.

There are two ways to access the Payment Plan (which requires an additional fee):

  • STAR GPS – In STAR GPS Registration, click on the “View/Pay” button. Once you are logging into the payment system, click on the “Payment Plans” tab.
  • MyUH – Search for and then select the “Enroll in Payment Plan” task. After logging in, you will be brought directly to the “Payment Plans” tab as shown below.

COURSE PROGRAM OF STUDY

For compliance with Title IV Federal guidelines, financial aid only applies to courses that are required for the degree or certificate you are enrolled in.  Be sure to check your STAR GPS Registration. The credits for any course listed as “NOT IN PLAN” or “Non-Applicable” are not eligible to receive financial aid. Here’s how the courses will appear in your STAR GPS:

If you see a course labeled as “NOT IN PLAN” or “Non-Applicable,” we encourage you to email or schedule an appointment with your Academic Advisor/Counselor as soon as possible to determine your best course of action. You can schedule with an Academic Advisor/Counselor on STAR Balance or by calling the Counseling Office at 808-235-7413.

CONCURRENT ENROLLMENT

The credits for course(s) taken at another UH campus may be considered for financial aid at Windward CC if the following requirements are met:

  • Your home campus is Windward Community College, and you are enrolled for at least one course at Windward Community College. 
  • The course(s) taken at another UH campus must be within your degree path at Windward Community College for the credits to be considered as part of your financial aid package from Windward Community College.

SATISFACTORY ACADEMIC PROGRESS 

To maintain your financial aid eligibility, you must meet the terms of the Satisfactory Academic Progress Policy. The UHCC Satisfactory Academic Progress Policy outlines the minimum academic standards you must maintain as a financial aid recipient. You are required to complete at least 67% of the credits you attempt and transfer into WCC as well as maintain a cumulative WCC GPA of at least 2.0 and complete your degree within the maximum time frame of eligibility.

FINANCIAL AID PROBATION

If you are on Financial Aid Probation, you are required to contact the Financial Aid Office after grades are posted in order to determine the following:

  • Whether you met the requirements of your Academic Plan for the semester that just concluded.
  • Whether you need to sign an updated Academic Plan if you have not yet met the requirements for reinstatement of your financial aid eligibility.
